DUTIES
This is the position of Staff Assistant, Office of Museum Services
(OMS). The incumbent serves as Staff Assistant to the Deputy Director
for Museums and supports OMS personnel. The incumbent carries out a
variety of administrative assignments for the office and in particular
the supervisor, including compiling information from a variety of
sources, providing information and general advice on agency
administrative procedures to staff members, communicating action items
to immediate staff members, and assisting in organizing and coordinating
regular and special assignments. The incumbent also handles other office
administrative functions including: answering phones and e-mail,
scheduling meetings and appointments, making travel arrangements,
proofreading documents, coordinating internal and outgoing mail, filing,
copying and faxing. Assists staff with projects, meeting, special events
and production of program guidelines. Coordinates correspondence
requests and information related to agency activities: tracks mail,
handles acknowledgments and responds to requests. Assists staff in
coordinating materials for meetings, reports, projects, briefing books
and mailings. Reviews, screens and controls office correspondence.
Establishes and maintains files and tracking systems. Advises staff on
proper retention of records and assists in archiving records in
accordance with agency and government regulations and polices.
Responsible for the preparation of all travel documents related to the
travel of the supervisor and others traveling with the supervisor, as
assigned. Screens telephone calls thoroughly and with diplomacy. 


QUALIFICATION STANDARDS
For GS-7: Candidates for this position must have one year of specialized
experience at least equivalent to the GS-5 level. Specialized experience
is that which would have provided the candidate with experience in
administrative concepts and practices in order to recommend changes in
administrative policies. 

OR

Education for GS-7: 1 full year of graduate level education or superior
academic achievement.

For GS-9: Candidates for this position must have one year of specialized
experience at least equivalent to the GS-7 level. Specialized experience
is that which would have provided the candidate with experience in
administrative concepts and practices in order to recommend changes in
administrative policies. 

OR

Education for GS-9: 2 full years of progressively higher level graduate
education or Master's or equivalent graduate degree (such as an LL.B. or
J.D.).

Candidates will be further evaluated in terms of the following
knowledge, skills and abilities, which must be documented in narrative
form. Applicants who wish to receive full consideration for this
position should address each knowledge, skill and abilities in a
narrative format:

1.	Knowledge of office practices and administrative procedures (in
areas such as travel, mail processing, filing system, etc.), and ability
to manage and coordinate the work of the office
2.	Skill in operating personal computer systems equipped with word
processing, database management, spreadsheet and Internet research
software.
3.	Skill in planning and coordinating numerous projects (including
meetings, calendars, and travel schedules) concurrently under deadlines
and with attention to detail.
4.	Knowledge of principle and practices of libraries and/or
museums.
5.	Ability to effectively communicate orally and in written format
in preparing responses to correspondence (including proofreading and
editing), presenting recommendations, coordinating efforts of the staff,
responding to inquiries and interacting with managers.

KSA's. Provide examples which show the depth of knowledge, level of
skill, or degree of ability you possess. 

Basis of Rating:
The information contained in your application will be reviewed to
determine the degree to which you meet the basic qualification
requirements, and possess the knowledge, skills, and abilities (KSA's)
that are essential for successful job performance. Credit may be given
for paid experience or volunteer work such as community, cultural,
social service and professional association activities, education,
training, awards, hobbies, or any other job related activities. 

Qualified candidates will be rated on a scale of 70-100, plus veterans'
preference points if applicable.
