It seems to me that we are forgetting ethics / conflicts of interest / publicity and so on in this thread.

1. Freecycle - discretely only - certainly with no link to the museum.  What will people think?  That you take what people donate to you and give it away to whomever you chose!   - The perception that your first post to Freecycle must be an offer may apply to some Freecycle sites but not my local one.

2. Tell staff ahead of time so they can tell relatives so they can jump on the offer *- A resounding NO to this one.  You don't tell friends, you don't tell family * that's like insider trading, not ethical.  As a government employee, I cannot buy my agency's surplus items, I cannot tell friends or family when something is headed for surplus either.

I was just about to suggest Freecycle, but you beat me to it, Gayle!  The other advantage of Freecycle is that someone will pick them up, you do not have to take them somewhere.  I agree with the previous post, all or nothing - no cherrypicking.  Presumably, you could let your staff know how they would be disposed of, and if one of them (or perhaps one of their family members) was the first to respond, you would have freely offered them to everyone, so no favoritism.

  Back to your question about disposing them, don't discount http://www.freecycle.org  You could always Freecycle them. Since your first post has to be something you have to give away, that could match the need, and you could use the opportunity to ask for things the museum might need AND do some easy publicity by creating a link to what the museum offers.  Maybe you could engage the neighbors in helping you, increase visitation, and make them feel like they're a part of the institution.

  Our institution recently received about 200 vinyl records that range in date from the 1930s-1980s. When we agreed to take the records from our collecting era (1930s-1940s) the donor gave us permission to dispose of anything that we didn't want. They signed a permission to dispose form that lists all the ways we can get rid of them (give to another institution, sell, throw away, etc.). Most of the records that we are not keeping for the collection are not in great shape and I don't think that they would sell well on ebay (at least not well enough to justify all the time and effort we would have to put into it).
  So we would like to just throw them away...but here is our dilemma, word of these vintage records got out among the staff and people have been asking if they can have certain records (The Captain and Taneal anyone?) We do intend to toss them, but I don't want to just hand them out to employees that ask for them. I also hate to put this much stuff in the trash that someone may want and use. Should I throw them out and just let people dumpster dive? Any thoughts on an easy way to rid ourselves of them without getting caught in an ethical nightmare?
  Anyone want 100 or so vinyl records from the 60s, 70s, and 80s (for your institution of course)?
