Development Assistant

POSITION SUMMARY:

The Development Assistant is responsible for the timely and effective processing and coordination of donor gifts and correspondence for members and donors. Responsibilities include coordinating the Museum’s permanent donor recognition program, assisting with donor cultivation and stewardship and providing quality customer care. S/he will also be responsible for other duties related to the donor database, including data extraction and on-going maintenance. Position is part-time for 30 hours per week.
ESSENTIAL DUTIES AND RESPONSIBILITIES:

1.	Provide accurate and timely data entry and acknowledgement of donation and membership gifts.
2.	Coordinates and oversees the permanent recognition programs, including but not limited to the Children’s Courtyard, Donor Walls, Family Windows and the National Center’s Forum Seat program. Responsibilities include working with donors and vendors to ensure accuracy and timeliness of engraving.
3.	Support fundraising efforts by assisting with donor cultivation and stewardship. This includes providing information to donors on the Museum’s missions, exhibitions and programs, educating them on the various giving opportunities and helping to maintain a positive on-going relationship through courtesy phone calls and other means of follow-up.
4.	Provide customer service support to visitors, prospects, donors and members.
5.	Assist with on-going updates, maintenance and quality control of the donor database, including the clean-up and cataloging of our extensive permanent recognition list of names.
6.	Assist with member and donor fundraising events and exhibition opening receptions, which may include working evenings and weekends.
7.	Assist in generating reports and lists from the donor database, as needed.
8.	Support other tasks and activities of the Development department.
9.	Staff members must be able to work with visitors of all ages to support the various events sponsored by the National Museum. Each staff member will be expected to work on a minimum of three museum-wide events per year: a)	National Museum’s Annual Gala Dinner and Silent Auction- (off-site) typically held in the Spring (April-May) b)	National Museum’s Family Festival Day- Oshogatsu Family Day (January) or Summer Festival (August) c)	Target Family Free Days – Free Admission Family Days sponsored by Target held on the 2nd Saturday of the month.

KNOWLEDGE, SKILLS AND ABILITIES:

Qualification Requirements: perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education: Bachelor’s degree in a related field from an accredited institution preferred; or an equivalent combination of education and experience in membership/development program of a non-profit organization.
Experience/Knowledge: At least two years of experience in membership, or fundraising in a non-profit organization. Excellent organizational skills and attention to detail, accuracy to complete tasks in a timely manner is essential. Willingness to learn and apply new skills. Ability to multi-task and prioritize. Ability to work well under pressure to meet deadlines. Excellent typing/data entry skills with strong proofreading skills. Professional phone manner is essential. Ability to work in a fast paced team-environment, be a self-starter. Demonstrate commitment and flexibility at all times in order to ensure high quality service. Knowledge of Japanese surnames and Japanese American history and culture a plus. Prior experience working with and organizing volunteers is beneficial.
Communication: Excellent communication and negotiation skills. Must be able to provide courteous and effective service to co-workers, volunteers and the general public. Ability to read and comprehend documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to effectively present information in one-on-one and small group format. Strong interpersonal skills and sound judgment in representing the institution externally is critical.
Computer: Proficiency using Microsoft Office is required, Internet savvy, and experience with Raiser’s Edge database software is preferred, speed and accuracy are essential. Familiarity with Gmail beneficial.
Math: Ability to calculate figures and amounts such as discounts, interest, proportions, and percentages.
Reasoning: Act on own initiative. Must be able to comply with institutional policies and procedures. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Perform successfully when juggling and re-prioritizing multiple assignments in a fast-paced, changing work environment. Reliable follow-through on assigned projects in a complete, well conceived and timely manner.

The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus.
