>The National Gallery of Canada has a very active Loan Programme (1000 -
1200 works per year) managed by the Registrar`s Office, and consequently a
very formal and somewhat complex loan review procedure involving the
collaboration of eight to
eleven departments (Directorate, Chief Curator, Registration, Curatorial,
Conservation, Technical Services, Protection Services, as well as Design,
Multimedia Services and Exhibitions on an occasional basis).
Formally-established lead times are documented in the Collections Policy (6
months in advance of the date required, not the opening date of the show,
for 1-11 works, 8 months for 12-24 works, and 12 months for 25 or more). We
do, of course, make every effort to accommodate loan requests which do not
allow us the required lead time, but there have been occasions when the only
option was to refuse the loan because of inadequate lead time to prepare and
ship the work safely.

>conservation, packing and shipping costs?

>No admin fee --we charge back for the above costs as well as for insurance
and courier costs. Our policy is to insure the loan under our policy and
charge back the borrower.
