You are the end user therefore, IT should do as you ask.  You need the utility!  I would ask however, if providing him/her with an excel list of people and permissions would help.  It might be the person is just lazy and doesn't want to type all the users in.

Hello all.  My institution is just launching a new database system.
Like the old one, it has access control.  In the old system, everyone
who entered data and cataloged was listed in the access control section.
This included volunteers and work/study students and interns, as well as
staff (past and present).  For the new system, our IT person doesn't
want to list everyone.  Anyone who is going to be working less than a
year or less than 8 hours a week is to be put under general headings of
user 1, user 2, etc.  Personally, I see this as a problem.  We're going
to have to keep track of people on paper for years.  There will be
issues with permission rights for different people.  It will not provide
accurate information in data entry.  I was wondering what other
collections manager think of this and what they have done in their
institutions with access control to their database systems.  Thank you
for your thoughts and happy holidays.

a few years back we installed a dry pipe sprinkler system in our
collections areas, if I were to do the same today I would look into a
pressure fog system which uses far less water (thus less water damage
after the event) but still suppresses fire very effectively, as I
understand the only downside is the increased cost to install.

Nancy, would start by asking your IT person why she/he wants to use this
system, and dealing with that issue. It probably has to do with the
costs of updating the named user file on the network (and I'm assuming
your new DB will take its access control from the network directory).

Jennifer, besides the high-pressure water mist system (e.g., Marioff

to check out the type of system known as "total flooding clean agent".

Total flooding clean agent systems are probably the ideal choice for
archives and museums, but they are not always practical, because they
have very specific operating requirement which the institution may not
be able to meet. See

on the market.

Be advised some fire and/or buildings departments are unfamiliar with
either of these technologies, and have to be gently introduced to them.

NYC Department of Environmental Protection's archive (total-flooding
clean agent couldn't be made to work at that site), but it took almost
two years to get approval.

be sure to get a realistic cost estimate, because museums and archives
