POSITION: Assistant Outreach Archivist (Library Associate III) 

DEPARTMENT: Russell Library for Political Research and Studies 

ANNUALSALARY: $26,146

PURPOSE AND SCOPE: 
The Richard B. Russell Library for Political Research and Studies is a
department within the University of Georgia Libraries , which reports to the
University Librarian and which serves as a center for research and study of
the modern American political system, with particular emphasis on the role
of Georgia and that of the U. S. Congress. The Russell Library seeks to
document fully the dynamic relationship of politics, policy, and
culture—where public interest intersects with the three branches of
government at the local, state, regional, national, and international
levels—through the papers, archival records, and material culture of
individuals and organizations. The Russell Library is also dedicated to
developing and presenting public programming and educational materials that
facilitate and encourage research, raise public awareness of the Library and
its collections and services, and provide learning opportunities for the
communities it serves. The Russell Library pursues alliances and
opportunities for collaboration with individuals and organizations that
advance its mission. The Russell Library is a founding member of the
Association of Centers for the Study of Congress and is a primary partner
and official repository for the Foot Soldier Project for Civil Rights
Studies, a collaborative project dedicated to documenting and chronicling
the experiences and perspectives of lesser known participants in the civil
rights movement in Georgia . 

The Russell Library staff consists of the Director (department head), four
archivists, and two staff positions and is responsible for acquiring,
preserving, and making available permanent historical records according to
archival standards and procedures and for providing reference assistance to
a variety of patrons. This position reports to the Access and Outreach
Archivist and makes a significant contribution to meeting departmental goals
and standards by participating in the planning, decision-making, and
implementation of access and outreach initiatives including: orientation and
instruction to onsite and offsite patrons; coordination of exhibition
research and development and public programs. This position works closely
with Head of Access and Outreach and the Director on special and ongoing
projects. 

DUTIES AND RESPONSIBILITIES: 

Exhibits 38% 
Conducts research using secondary and primary sources for large scale
thematic exhibits. Supervises research performed by student assistants.
Develops exhibit scripts and designs and fabricates exhibit panels and
environments as directed by the Access and Outreach Unit head. Collaborates
with the Access and Outreach Unit head and the Assistant Access Archivist to
develop programming and web presence that complements exhibits. Maintains
the lobby gallery by producing small temporary exhibits; by collaborating
with departmental web editor to mount complementary web pages heralding
temporary exhibits. Assists with preparing publicity for exhibits as well as
with development and logistics of associated public programs. 

Public Programs 28% 
Coordinates development and logistics for all Russell Library public
programs. Assists with preparing publicity; manages and maintains all
address lists for the department; oversees all mailings; works with vendors
and event partners; attends all public programs of Russell Library. 

Instruction and Reference 15% 
Promotes the Russell to users and potential users through knowledgeable,
efficient, and courteous assistance. Participates in outreach and
instructional activities for the department to encourage use of Library's
collections and services by providing instructional classes and reference
conferences. Provides initial orientation to Russell Library collections and
services. Coordinates all offsite reference services and maintains remote
reference database; provides tours to individuals and groups. Participates
in reading room and reference service to patrons in accordance with policies
and procedures of the department and by maintaining awareness of related
holdings at other institutions and by developing and maintaining knowledge
of collections within the department. Maintains the orderly appearance of
the reference desk and keeps forms stocked. Coordinates provision of Russell
Library materials through Interlibrary Loan according to departmental
policies and procedures by retrieving items, maintaining records and annual
statistics, and serving as liaison with the Libraries ILL unit. Coordinates
digital and photographic reproduction of Russell Library materials for
patrons according to departmental policies and procedures. Serves as liaison
with Libraries Image Services Department. Processes, files, and records
researcher applications according to departmental guidelines. 

Collections Development 5% 
Manages acquisition of book orders for department by verifying information
and working closely with the Library Director and the appropriate personnel
in Acquisitions. Identifies potential material purchases by assisting the
Director of the Russell Library to browse print and electronic catalogs.
Receives and checks in books orders, shelves them in appropriate location,
notifies staff of receipt, maintains records of departmental book orders.
Routes all general publications such as professional journals, newsletters,
training announcements among Russell staff and then files or discards
material according to departmental policy. 

Supervision 5% 
Supervises student assistants assigned to the access and outreach unit by
training and developing staff through effective communication and a
fostering of shared goals that yields knowledge, productivity, and
dependability. Manages payment and time records for student assistants. 

Planning and Assessment 5% 
Contributes to the mission of the Russell Library, and the Libraries as a
whole, by participating in meetings, planning, program review, the
development and evaluation of policies and procedures, strategic planning,
the development of special projects and functions, and grants writing for
the department as assigned. Tracks visitation and usage patterns in the
Russell Library using current database tools and compiles data as needed for
reports and assessment. Manages and maintains all address lists for the
department. Conducts research and develops databases to support collection
development and outreach initiatives for the department. Increases the
quality of individual contributions to the Department and enhances the
regional and national status of the Libraries by participating in continuing
education and professional development activities. Maintains flexibility and
awareness of changes in department by assuming other duties and
responsibilities as assigned. Contributes to the library by participating in
committees or other work as appropriate. 

Communication 2% 
Coordinates flow of information and material in and out of the department by
collecting and distributing mail daily, and by serving as the liaison with
the supplies and purchasing department and the mailroom. Coordinates Russell
Library general supply requests and keeps the general supply area well
stocked and orderly. Participates in library-wide communication by reading,
responding to, and initiating information transmitted via GRAPEVINE, Library
Update, and appropriate library-wide or departmental meetings and asking
questions, seeking clarification, or initiating discussion on library issues. 

Facilities 2% 
Trains staff and students in proper front desk procedures and equipment use.
Manages use of Russell auditorium. Handles reservations and maintains
equipment and facilities. Maintains appearance, monitors environmental
conditions, and manages security of public areas (galleries and auditorium). 

QUALIFICATIONS: 

Required: 

Bachelors degree AND three years related progressively responsible library
experience which includes one year of supervisory or management experience;
OR seven years progressively responsible library, archives, information
center or related work experience which includes one year of supervisory or
management experience; OR any equivalent combination of experience, training
and/or education from which comparable knowledge, skills and abilities have
been achieved; 

Experience with developing thematic exhibits and/or public programs; 
Working with the public and demonstrated evidence of commitment to public
service and ability to work effectively with patrons, donors, and co-workers; 
Effective oral and written communication skills; 

Effective organizational skills; 

Demonstrated ability to perform detailed work with a high degree of accuracy
and to work independently within a framework of assigned responsibilities; 

Fluency in Microsoft Office Suite; 

Demonstrated commitment to discretion and upholding privacy of records.

Preferred: 

Background in modern southern history and/or southern culture and strong
grounding in social sciences or humanities; 

Fluency in Adobe Photoshop, Adobe InDesign or PageMaker, and Adobe Illustrator; 

Experience with editing and proofreading.
