The Museum Loan Network in MIT's Office of the Arts has an opening for an
Administrative Assistant.  The Museum Loan Network(MLN) is a national museum
program which facilitates and funds the loan of collection objects between
institutions in the United States. The position is a grade 5 and the
description follows:ADMINISTRATIVE ASSISTANT, Office of the Arts, to provide
support to the Museum Loan Network(MLN) Director and Program Associates.
Duties will include financial responsibities including preparing Institute
forms for purchasing and reimbursements; maintaining back-up accounting
system for expenditures and reconciliation of budget with MIT statements;
preparing financial reports for funders, handling correspondence; answering
telephone calls and inquiries; scheduling meetings; keeping Director's
calendar current; travel arrangements; assisting in the preparation and
coordination of Advisory Committee and Curatorial Ambassador and other
MLN-sponsored  meetings; maintaining mailing lists,preparing and sending
promotional mailings; developing and maintaining filing systems; basic
maintenance of office equipment; and ordering office supplies.
REQUIREMENTS: ability to work independently, and excellent administrative
and organizational skills. Must possess excellent computer skills including
Windows experience with Microsoft Word, Excel, Access and HTML.  Must also
be proficient in use of e-mail and the Internet.  Experience with database
systems essential. Ability to handle complex accounting matters and ability
to set priorities and complete tasks in a timely manner necessary,
familiarity with SAP desirable.  Excellent interpersonal skills needed.  An
interest in the arts or museums an asset.  A bachelor's degree and MIT
experience highly preferred.
