Hello,

The Miami County Historical Society Inc. is seeking a highly motivated individual to fill the position of Archivist. This is a full time position, Tuesday through Saturday from 9 am to 5 pm. POSITION SUMMARY:

The Archivist is responsible for the overall management, organization, interpretation, and planning of the Hal C. Phelps Archives and Reference Library; responsible for collection development; manages volunteers in the museum; and provides reference service and public access to the archives for staff, scholars, and visitors.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Collections Management								
Responsible for the conservation and physical care of all materials in the archives and actively monitors its security.
•	Maintain accurate records in accordance with the format established by the Miami County Historical Society policies and procedures. 
•	Develop documentation and collecting strategies for archival materials; reviews and evaluates the archives collection policy in consultation with the 		Director/Curator; recommends items for deaccession to the Director/Curator.
•	Reconcile past registration numbers with proper registration practices in consultation with the Collections Manager/Registrar.
•	Contribute to collection database and ensure data integrity; run status reports as needed.
•	Conduct and maintain periodic physical inventory of archives and ensure on a regular basis that inventory is current.
•	Provide research and design and assist with installation of exhibits as assigned. 
•	Identify and catalog new acquisitions and research information to complete the existing catalog.
•	Provide Director/Curator with a monthly report including a list of archival collections entered into Past Perfect, as well as collections slated for 	deaccessions. 
•	Assist staff and visitors in securing collection, donor, and source information and documentation. 
•	Maintain a working knowledge of equipment in archive area and be responsible for maintaining adequate archival supplies. 

Research and Reference Services							
•	Respond to public inquiries regarding genealogy, special topics, school projects, etc.
•	Assist visitors in the archives during their searches.
•	Oversee rights and reproductions of the photographic collection.  Oversee the processing of appropriate paperwork, gathering permissions, and 	assessing fees for photographic services.  

Education/Outreach									
•	Assist with museum tours, as needed.
•	Give speeches/lectures to service organization, schools, and other interested parties when requested.
•	Provide regular articles for the Society’s monthly newsletter.

Volunteer Management					
•	Coordinate and recruit volunteers for archival tasks, such as data entry and filing. 

Stewardship
•	Act as “guardian” for the Museum’s collection, which is held in Public Trust.  

Attendance
•	Museum hours are Tuesday through Saturday, 9:00 am to 5:00 pm, with a one-hour lunch break.  Flex time and comp times are acceptable when 	approved by the Director/Curator.
•	Expected to be present for all special events/development functions unless otherwise arranged with the Director/Curator and may be assigned to work 	in a capacity alternate to that defined above.

REQUIRED EDUCATION, EXPERIENCE AND QUALIFICATIONS:
•	Bachelor’s degree in Library Sciences, Museum Studies, Public History, History, or a related field.  Comparable years of direct experience considered.  
•	Knowledge of Indiana and /or Miami County history.
•	Best practice knowledge of archival organization and registration, database management, records management, and library work. 
•	Excellent organizational skills and self-motivated.
•	Exceptional writing and verbal skills.
•	Ability to establish and maintain effective working relationships and to work well with others in a team situation.

WORK ENVIRONMENT:
•	Sitting at a desk, walking, standing, climbing stairs, hearing (telephone, meetings, etc.), and lifting/carrying (up to 40 lbs.).

SALARY:
•	Annual Salary as established by Miami County of $23,265.00 plus county employee benefits.
