We have been working with a project to collect images of local photographs
from donors who do not wish to give up their original photos.  Our policy
is that
we will make a scanned image (400dpi TIF) of the photo for our archives,
and give the loanee
a CD of the scans and their original back.  That way if the original are
lost
a good scan is available.  The photos are made as 'restricted use'
(permission from the photo
owner needed for first 5 years, since people die, etc., and new owners are
not always known).
This has worked for us and given us many images that otherwise would not
have been available. Any scanned
or digital images (hard copy) is restricted the same way.  In Past Perfect
we show that each image is
'Computer file only', and a computer file for them is placed on CD in case
the computer goes down.
