Job Description

TITLE:   Visitor Services Coordinator

ACCOUNTABLE TO: Deputy Director

MAJOR OBJECTIVES: Provide an enhanced visitor experience at the museum by developing well trained volunteers and docents and disseminating accurate information. Support and assist the Deputy Director in all administrative areas regarding guest services.

QUALIFICATIONS: 

Enthusiasm and flexibility
Good organizational skills: self motivated; creative; and detail orientated.
Ability to establish and maintain effective working relationships with staff, volunteers, donors and members and to work with others in a team situation; to motivate others.
Ability to communicate with the public in professional manner through exemplary speaking and writing skills
Ability to work with individuals with diverse backgrounds and disabilities
Computer skills: Microsoft Word and Excel; Familiar with Microsoft Access and Outlook


RESPONSIBILITIES:.

Visitor Access (70%)

1. Administers policies and procedures relative to daily visitor access-related operations. Specific areas of oversight are: admissions, entry reception, telephone and administrative reception, access related public information (signage, recorded voice messages and orientation materials.)

2. Supervises Visitor Access Staff / Volunteers and Docents. Supervision consists of coordinating recruitment, training, scheduling and evaluation of volunteer corps.

3. Develops and administers year round training in such topics as service, fire, safety, information and orientation, responding to complaints and events related procedures and management.

4. Ensures the museum provide services for a variety of audiences, reflecting the diversity of its direct community. Facilitates scheduling of guided tours for schools, scout troops, ROTC classes, day care centers, seniors, adult care centers and persons with disabilities.  Responsible for mailings and community outreach to encourage these specialized visits.

5. Represent the department at all board level Education Committee Meetings.


Administrative   (30%)

1. Responsible for management and reconciliation of all visitor related revenues: admissions, memberships, and tours.  Maintain accurate records and generate appropriate correspondence.

2. Prepares fiscal budget for department and monitors income actualizations.

3. Works with Director to implement volunteer policy changes and procedures, revision of volunteer/docent job descriptions, training manuals, etc…

ACCOUNTABILITY

Management of museum entry 
 - Answer phones and check phone messages
 - Stock museum handouts in front area & office paper stacker
 - Update Lobby sign daily
 - Generate and send Tax receipts
 - Prep & send memberships
 - Prep & send tile certificates
 - Prep new member packets
 - Keep admission records and reconcile daily deposits

Management of Volunteer/ Docent Corps 
 - Schedule volunteers/docents for daily work and museum related events
 - Maintain all volunteer/docent files
 - Actively recruit new volunteers
 - Train new volunteers
 - Schedule bi-annual volunteer meetings
 - Schedule volunteer committee meetings/ read all suggestions in comment box and make  recommendations to Executive Director
 - Plan annual volunteer recognition event
 - Formulates and maintains an annual budget for volunteer corps
 - Maintain volunteer display within the museum

Supervise Special Tours
 - Schedule museum tours and recruit volunteers to guide them
 - Collect all monies associated with tours
 - Develop and maintain an active training program for tour guides
 - Represent the department at all board level Education Committee Meetings
 - Provide updated booking report to the Executive Director Friday of each workweek.

HOURS:	Tues-Saturday   8:00-4:30     ½ hour lunch
SALARY:	Hourly with full medical benefits; vacation and sick days.
