Here is perhaps an unhelpful solution, but it sounds to me like someone's
machine needs upgraded.  We (especially small museums) do ourselves a HUGE
disservice by continuing to function on outdated machines... especially when
we make our support staff use them!  Instead of reinventing the wheel
(especially if you already have a database that works well), maybe invest in
a new computer for someone?  They are really cheaper than ever, and they'll
pay for themselves in the time your staff saves!

BTW, I am from a small museum with a smaller budget, and have been through
this.  Our three new iMacs that we finally caved in and bought have changed
our life!!
