Kendall,

I work part-time at an art museum in KS that has also free admission and no active gift shop. One of the key incentives they offer is special invitations to exhibit openings, gallery talks, speakers, their newsletter, and voting rights for the annual acquisition. Many of these events (except for the acquisition and some of the exhibit openings) are still open to the public, but members get a mailed invitation inviting them personally. I don't know what your budget is, but I would recommend building some annual programs to make your members feel like they are a part of a special community. Or, if that isn't a possibility, cultivate membership by linking individual donations to a specific project or goal. Ex. "Your $50 membership will go to the conservation of this 18th century armchair" or so on. You can update the goal or whatever you choose throughout the year, that way members feel like their money is going to something they might find value in. One thing to consider is that many museum membership programs do not pay for themselves (that's why the Dallas Museum of Art switched to free memberships). So if you don't think you will have the resources to support a robust development and membership program, I would focus your energies on gathering donations for specific projects or goals.

Other people may have varying opinions, or even better suggestions, but I hope this little tidbit helps!

             -Abby

Subject: Membership at free museums

Hello Listers,

I am the museum manager for a local history museum set to open next spring/early summer. We will have free admission but would like to develop a museum membership, also. What benefits can we offer our members? Our major exhibit space will be pretty static with only a few cases available for rotating displays, so members-only openings would be difficult. Our gift shop will be pretty small, thus making discounts there negligible. We'd like to offer workshops (at a discount for members) but aren't sure how many of those we can accommodate per year. Any newsletters we might create likely will be posted on our website for public viewing.

I understand many patrons view their museum memberships as essentially donations and don't necessarily expect a big incentive program for joining, but I wonder what other options are out there. Suggestions?

I'm using my personal email until our new website gets closer to completion. Feel free to respond to me off-list:

Hi, all --

My most recent post at Leading by Design looks at the importance of job descriptions for board committees, task forces and working groups. Does your board make use of them? Do you use them when assembling a project team?

Dear Colleagues and Natural History Collections, If you are a Curator of a Life Science collection (or a Director who actively manages Life Science collections) in a Natural History Museum or Science Center, please consider taking the anonymous survey below. The brief survey is intended to accumulate baseline data highlighting the success and diverse utility of curator positions for natural history collections in the life sciences. The data will be kept anonymous, with information received being used for summarizing the breadth of success for curator positions with no ties to the individual researcher.

While these data will be used internally, we hope that a publication will also arise, provided we collect a good sample size. Please feel free to also forward this email on to other colleagues, both in the US and abroad.

It is our hope that this data can be used as data-driven evidence in direct support of collections-based research programs. We expect this survey will take 5–10 minutes of your time. It is anonymous and completely voluntary. Participation by curators in full or split positions that meet the criteria of this survey (Natural History Collections in Life Sciences) would be greatly appreciated.

If you agree to be in this study, you will be asked to briefly fill out a 10-question survey about curator productivity in research, funding and teaching. You will not be asked to provide your name or title and the data will be summarized as a group with no direct ties to your program.

To access the anonymous survey, please use the following link by December 20.

I think you are on the right track. Discounts in the shop and on workshops (however small) is a benefit worth highlighting. Do you send out mailings? Even if the newspaper is available for the public on the website, some people still prefer a hard copy of any mailings, and will pay for that perk. Besides workshops, do you plan on offering any other classes or sponsor events? Even if those events are free and open to the public, there still may be way to build in some additional member benefits. At my previous museum members at a certain level or above also received a printed copy of a photo taken from our archives, which people seemed to like -- although be wary of offering too many benefits of this sorts at the lower levels, as if you're not careful the associated costs will eat up the membership dues. At my current work (which has no admission fee) members at higher levels are also invited to attend special off-site tours and events. Since your own exhibits won't be changing much, you may find it helpful to focus on some of the off-site offerings as your chief way of keeping members active and engaged, as well as perhaps specialized behind-the-scenes tours of your collections or your exhibits; even if the space doesn't change much, you could still offer periodic themed member-only (or member-discounted) tours focusing on certain aspects of the collection. As you're thinking this through, I would make sure to build in some tiered membership levels and plan for growth. You could also investigate some of the various museum reciprocity programs out there as well. Good luck!

Free admission into lectures. (Not sure what the local history analog is to an artist's lecture at an art museum.) Definitely, "other" events (I think of the Eastman House and the movie nights at the Dryden Theater - separate from the main museum. Planetarium shows at museums (separate from the regular museum admission.)

Also special lectures for members only.

Good luckl.

Greetings all! Having read Anne Ackerson's latest blog and looked at the links that she suggested, I think it's time that our museum board do a self assessment. Has anyone done this? What kind of questions did the board ask themselves? More importantly, were they able to take away anything from this exercise that benefited the museum or non-profit. If you have written self assessments you're willing to share, please send off list. Thank you in advance for your help!

You need some members only events AND an annual dinner where members hear about the annual report and plans for the coming year.

Hi listers!

Hope everyone had a great holiday weekend!

I'm working on updating the MOU between the city (owners of the

museum/collection) and the non-profit friends group that provides some financial support to the museum and runs the gift shops. I've done a Google search for some examples (most of which seem to be library) so thought I'd check with the group to see if you had an example that worked well for your museum, or tips on what to include/exclude/look out for in crafting an agreement.

Also, as a newbie to the city-owned-museum world, is there a list serv/group for museum folk at those museums to connect and share challenges/secrets to navigate the municipal system? Quite a different world from the non-profit museum!

Thanks!

Call for Proposals - PATCH’2014 – The Future of Experiencing Cultural Heritage, Haifa, Israel. February 24, 2014

**1st deadline = two weeks from now**

The 7th International Workshop on Personalized Access to Cultural Heritage (PATCH 2014) will be this year co-located with the Intelligent User Interfaces Conference (http://www.iuiconf.org/). IUI is the annual meeting of the intelligent interfaces community and serves as the principal international forum for reporting outstanding research and development on intelligent user interfaces. It takes place in Haifa, Israel on 24 February 2014. Next to the full research papers, we also encourage submissions of position papers, short papers and demonstrations to enable active discussion of the open challenges and issues in this area of research. For more details check PATCH2014 webpage: http://patch2014.wordpress.com/.

The PATCH workshop series (http://patchworkshopseries.wordpress.com/) is the meeting point between state of the art cultural heritage and personalization research – using technology to enhance the personal experience in cultural heritage applications. We aim at building a research agenda for personalization in cultural heritage in order to make the individual cultural heritage experience a link in a chain of a lifelong cultural heritage experience which builds on past experience, is linked to daily life and provides the foundation for future experiences. The workshop aims to be multi-disciplinary. It is intended for researchers, practitioners, developers and students of information and communication technologies (ICT), cultural heritage domains, e.g. museums, archives, libraries, and more, and personalization.

Topics

Multimedia information systems, such as interactive tours, visualizations and search engines, are now positioned centrally in a shared information space consisting of (1) digitized artifacts (2) the social web (3) and links between them. Personalization in multimedia information systems can improve the experience of visitors by assisting them in finding appropriate starting points, and in discovering new relevant information. Critically, these systems must become smart, so that they are able to adaptively act, react, respond and learn intelligently from user interactions. This workshop investigates three timely and interrelated issues relevant to the domains of both intelligent user interaction and cultural heritage:

Mobile, personalized and context-aware cultural heritage information delivery – using mobile devices, large displays, projectors embedded in the environment and new technologies including Google Glass.

Grow existing knowledge with new knowledge – Explore methods and tools to capture knowledge resulting from interactions between users (collective intelligence), professionals and collection artifacts, and interaction between users and different (intelligent systems) collecting information about them Extend contexts of use – Appropriation of digitized artifacts from memory organizations outside the traditional museum and research context for both visitors and professionals

Call for papers

Besides the full research papers, we also encourage submissions of position papers, short papers and demonstrations to enable active discussion of the open challenges and issues in this area of research. We invite submissions of work at all stages of development that address any aspects of personalization in the cultural heritage domain, e.g., papers which describe work in progress, empirical results, position statements, and demonstrations of existing systems.

An extended abstract of the workshop will be included in the ACM Digital Library for IUI 2014.

CURATOR OF COLLECTIONS AND RESEARCH

Oklahoma State University Museum of Art

The Oklahoma State University Museum of Art is a rapidly-expanding group of facilities and collections. Currently, the Museum consists of a collection of approximately 3,000 objects ranging from ancient Greece to the present day, and spanning five continents. The collection and primary storage facility is housed in the newly renovated Postal Plaza Gallery, a WPA era post office built in 1933. Located in downtown Stillwater, the Postal Plaza Gallery helps the OSU Museum of Art reach both university students and the broader community. Deliberately designed to serve our teaching mission, the Postal Plaza Gallery is a classroom with a third of the facility dedicated to storage and the other two thirds devoted to exhibitions. Long-term plans include development of an education classroom and exhibition space in the lower level of the building to support K-12 outreach programs.

The person in this position is responsible for the development, maintenance, use and research of the OSU Museum of Art's collection. The person in this position works closely in a team environment with staff, faculty, and students, as well as outside scholars to organize, develop, and produce pertinent research, exhibitions, publications and educational materials to support the collection. Reporting to and working closely with the Director, she/he is responsible for the development of collections policies and procedures; organizing and scheduling the collections committee; and making recommendations to the director for collections growth in keeping with the Museum's mission and strategic vision.

For additional information regarding the position requirements and to apply, please visit jobs.okstate.edu (Requisition/Listing Number: 10043) This listing is contingent upon available funding.

Subject: Re: Conflict of Interest?

Forgive me for neglecting this thread. Very bad manners! May I blame Thanksgiving? :-)

Elizabeth – A great argument! An important detail, however, is the issue of what constitutes one’s own time? In this case, the collection was made available to the curator after hours, a privilege no other author would receive.

Matthew – I think your summation captures the consensus of the thread perfectly – you say: “all museums should have an ethics and/or coi policy on intellectual property and it should be in writing, shared early and often with all stakeholders, applied equally among all stakeholders, and audited and updated as needed. (rinse and repeat)” Looking forward to further discussions at museumethics-l. Wish I had been aware of its existence before (my fault) and am grateful to you and Shana for making me aware.

Christian – some answers to your questions about this scenario:

1. --*Has he informed the institution in advance on this detail

(copyright)*? Yes – this is the fourth book produced in this manner.

2. --- *When did he photograph the items?* The curator used archival

images in the museum’s collection and solicited additional images from the public via the local newspaper.

3. --*Is it a book on the museum? *No – it is a book of images and

captions on a general local history topic. It was developed from an exhibit the curator produced at the museum.

4. --*(The institution charges image fees) on any kind of book*? In

general, yes. If an archival image from their collection is requested for use in a publication and reproduction/publication fee is required ($35 and up).

5. --*What is the goal of the book*? I’m not sure really.

6. --*Should they (charge image fees)*? I think so – IF the curator

produces the book as a private individual. Perhaps at a discount.

7. --*Agreement with institution*? There is nothing formal that I

know of – just a verbal OK from director to curator. No contract. No prior board approval.

[ [ [ Finally, I feel I should offer a full disclosure and mention that yes – I am a former employee of the institution in question. I was responsible for the image collection at the time this book was announced. The contract was signed with the publisher before I was informed of the project. I learned of it at a staff meeting and immediately raised concerns about the royalty/fee arrangement. My concerns were brushed off at every level and I was instructed to make the image collection available to the curator after hours (i.e. leave the cabinets unlocked). I hope this information does not negate the issues raised and lively discussion thereof. I do not wish to take advantage of the list’s good will and generosity. I just needed to receive a range of viewpoints - other than from my local community - to test my own. This thread has exceeded my expectations, expanded greatly my view of the situation, and reduced my cognitive dissonance :-) Thank you.] ] ]
