Membership & Office Coordinator 
Sons of the Revolution in the State of New York

Membership & Office Coordinator is the voice and face of the organization in its relationship with its members and prospective members.  In addition, she/he supports the institution's operations by maintaining and improving office systems and is responsible for planning, organizing and controlling the clerical aspects of the office.  The Coordinator is also responsible for supporting the SRNY's daily membership activities.  The position also aids in both retention of existing members and new member recruitment.  There is opportunity for growth. Person must be an energetic and friendly team player.

The SRNY is a non-profit hereditary society formed in 1876.  It is dedicated to preserving and educating about the history of the American Revolutionary War.  SRNY founded Fraunces Tavern(r) Museum and continues today as the Museum's parent organization.  The SRNY has approximately 800 members.

Office Duties
*	Designs filing system & maintains office files, including archiving; provides historical reference by developing and utilizing filing retrieval systems.
*	Plans and implements office systems and equipment procurement and maintenance
*	Provides supplies by identifying needs for reception, mailroom, and kitchen; establishing ordering procedures and schedules.
*	Schedules and organizes internal and external meeting logistics, including handouts, agenda, location and refreshments. - Takes minutes at Board Meetings
*	Processes regular reoccurring office invoices
*	Drafts, edits, and/or proofs internal correspondence
*	Serves as the primary contact for on-site vendors and visitors; direct to appropriate staffer
*	Sorts and distributes the mail
*	Assists in keeping workplace well-maintained and housing a clean and professional environment
*	Maintains records of each Committee, with names, addresses, telephone numbers and e-mail addresses. Advises each newly appointed member by letter. Maintains the same record for the Board of Managers
*	Records all contributions to the SRNY as received and sends thank you letters 
*	Assists with special projects
*	Coordinates direct mail projects
*	Other duties as assigned

Membership Duties

*	Collects, records and manages direct mail and digital donations in accordance with policies outlined by the Accounting Handbook
*	Manages membership benefits
*	Manages direct mail and email lists for new, lapsed and existing members
*	Maintains and processes accurate member records: tracking membership renewals, annuals dues, deceased members, new members 
*	Maintains good membership relationships by ensuring timely correspondence and response to questions 
*	Responds to all SRNY inquiries; directing inquirer to appropriate committee chair.
*	Processes applications for membership: prepares candidate's packet for Membership Committee; upon payment of fees, prepare Membership Certificates for signature of President and Secretary. Once signed, mail certificate with membership card to the member. Send copy of application to the General Society. 
*	Notifies General Society of all changes to membership records
*	Assists Membership Committee in developing and implementing membership recruitment and retention strategies; creating activities to interact with members in meaningful and engaging ways
*	Contributes membership-related material/content for use in the quarterly electronic publication
*	Maintains up-to-date website content, Facebook page and posts
*	Handles Society mailings (copying, folding, labeling envelopes, posting and mailing)
*	Handles arrangements for all SRNY hosted events: Flag Day Parade, George Washington Birthday Ball, Family Night, January Stated Meeting, Annual Meeting, Flag Day, Evacuation Day, and Nathan Hale Day and any other Society events and special projects as requested.

Requirements & Qualifications:

We are seeking an individual with a BA.  Candidates must have experience working directly in non-profit membership for 1-3 years.  The successful candidate will be highly organized, believes in the mission of SRNY, with excellent oral and written communication, and time management skills.  Individual must be able to manage multiple projects at once with a strong attention to detail.  Computer literacy, data management software and Microsoft Office Suite are a must.  

This full-time position reports directly to the Executive Director at $17 per hour with generous benefits.
