Job Title: Controller
Department: Finance and Administration
Reports to: Vice President/CFO
Level: 18
Status: Exempt

Summary: Highly responsible professional work as the Museum's
principal financial manager, supervise financial operation of the
Museum, oversee key administrative support functions, and carry out
special projects as directed.

Accountabilities and Responsibilities:

Ensure accurate records and information regarding the museum finances.
· Prepare monthly financial reports for all departments.
· Accumulate, record and monitor all activity in all museum accounts
and funds, as well as related investment activity.
· Prepare annual financial statements in accordance with acceptable
accounting practices.
· To supervise the Accounts Payable Supervisor.

Ensure that all museum financial operations are in accordance with
applicable laws, regulations, and grant guidelines.
· Oversee all transactions to ensure compliance.
· Properly train applicable museum staff.
· Maintain accounts sufficient to produce necessary reports.
· Interprets and applies various federal, state, and funder  rules,
regulations and guidelines to the account management of TCM
departments

Maintain best practices and systems.
· To work closely with the Budget Manager and IT Director to implement
a enhance financial management systems.
· Develop and implement recommendations for and oversee changes
resulting in system improvement and enhancements.
· Promulgate appropriate financial policies and procedures.
· Develop and train others on systems, in collaboration with the
Controller and IT Director.

Ensure effective day-to-day museum support operations.
· Supervise the Business Office Clerk to ensure that all daily cash
receipts are properly accounted for.
· Manage museum cashflow.
· Organizes, supervises, directs and evaluates daily activities of
subordinates.
· To lead cross-departmental working groups focused on special
projects.
· To prepare periodic analytical reports  working with various units
of the museum.
· Communicates with those departments regarding accounting problems
related to their accounts.

Skills and Qualifications:

· BA/BS (CPA preferred)
· Minimum  five years related work experience in business, accounting,
or finance.  Supervisory experience of at least two years.
· Experience with non-profits accounting required.
· Ability to read, analyze, and interpret general business
periodicals, professional journals, technical procedures, or
governmental regulations.  Ability to write reports, business
correspondence, and procedure manuals.  Ability to effectively present
information and respond to questions from managers, customers, and
outside agencies.
· Ability to calculate figures and amounts such as discounts,
interest, commissions, proportions, and percentages.
· Knowledge of fund accounting.
· Excellent communications skills.
· Experience with automated financial management software.
· Demonstrated ability to work with others.
· Mental ability to balance competing demands, tight deadlines,
frequent changes in priorities.

Physical Demands:
While performing the duties of this job, the employee is regularly
required to sit; use hands to finger, handle, or feel; reach with
hands and arms; and talk or hear.  The employee frequently is required
to stand and walk.  The employee is occasionally required to climb or
balance and stoop, kneel, crouch, or crawl.  The employee must
occasionally lift and/or move up to 10 pounds.  Specific vision
abilities required by this job include close vision, distance vision,
peripheral vision, depth perception, and ability to adjust focus.

Job Title: Budget and Planning Manager
Department: Finance and Administration
Reports to: Vice President/CFO
Level: 16
Status: Exempt

Summary:  Serve as the Museum's principal budget manager, supervise
the Payroll Supervisor, support Museum-wide planning efforts, and
carry out special projects as directed.

Accountabilities and Responsibilities:

Ensure a balanced budget and that the museum's mission is reflected in
its financial plans.
· To prepare the annual operating and capital budgets, in
collaboration with the CFO, Controller, and other Museum staff.
· To prepare monthly revenue and expenditure forecasts, in
collaboration with the CFO, Controller, and other Museum staff.
· To prepare monthly financial reports, in collaboration with the
Controller and MIS Manager.

Maintain best practices and systems.
· To work closely with the Controller and IT Director to implement a
enhance financial management systems.
· Revise and develop budget management systems to fit new PC-based
environment.
· Develop recommendations for and oversee changes resulting in system
improvement and enhancements.
· To supervise the Payroll Supervisor and ensure coordination of the
payroll with Budget, Human Resources, and Accounting systems, as well
across all museum areas.
· Develop and train others on systems, in collaboration with the
Controller and IT Director.

Support Museum Planning efforts.
· Develop and maintain a multi-year financial model of the museum.
· To lead cross-departmental working groups focused on special
projects.
· To prepare periodic analytical reports  working with various units
of the museum.
· Prepare reports for outside organizations.

Skills and Qualifications:

· BA/BS and two-four  years work experience in business, budget, or
finance; or Masters degree in a related field.  Experience with
non-profits a plus.
· Well-organized self starter, able to balance numerous tasks.
· Excellent communications skills.
· Experience with automated financial management software.
· Basic understanding of accounting systems.
· Excellent spreadsheet skills; Excel experience preferred.
· Demonstrated analytical capacity.
· Demonstrated ability to work with others.
· Mental ability to balance competing demands, tight deadlines,
frequent changes in priorities.
