The Harvard University Art Museums have an available position as full-time
Staff Assistant III in the department of Photographic Services.

Required/Preferred Education, Experience, Skills: BA with art history
background. Experience with technical aspects of photographic studio
production and reproduction, especially the photography of works of art and
knowledge of photo darkroom procedures for processing film and prints.
Superior computer skills in a Macintosh environment (database,
spreadsheets, word processing) required, with experience in digitized
reproduction technology strongly preferred (Photoshop). Experience in the
management of copyright and permissions procedures for visual media
required. Two or more years administrative experience including financial
record-keeping. Excellent oral and written communications, organizational,
and visual skills essential. Reading knowledge of German, French, Italian,
and/or Spanish preferred. Ability to prioritize duties and work well under
pressure. Excellent organizational skills and meticulous attention to
detail required.

Duties & Responsibilities: Performs various complex office duties in
photographic studio specializing in high-quality, black-and-white and color
photography of works of art.  Evaluates requests and schedules photography
and transit of works of art to accommodate client and publication
deadlines, curatorial needs, exhibition and loan schedules. Coordinates
large projects assessing quality of existing materials and need for new
photography, scheduling, addressing aesthetic issues, controlling quality
of finished work, tracking photographic process to ensure completion with
accurate information before deadline.  Checks and researches copyright
issues.  Obtains permissions as necessary from lenders to HUAM.  Verifies
information and credit lines.  Keeps current with copyright law and related
emerging publishing technologies, conferring with Manager of Photo Services
and General Counsel as necessary.  Assists Manager of Photo Services in
providing in-house consultation on matters of copyright law and permission
questions. Assists with digital imaging project for the Museums. Oversees
schedules for scanning. Coordinates Photo Services' involvement in process
-- checking what is available; what should be scanned; supplying necessary
photographs, slides, or transparencies for specific projects; and keeping
necessary records.  Monitors manipulation of color images in Photoshop,
including color correction and the refinement of raw scans.  Updates large
archive (some 55,000) of negatives, color transparencies and slides of
works of art, of museum staff and faculty, and of historical material
related to the museums. Handles external photo requests including
researching availability of items; scheduling necessary photography;
researching, preparing and processing invoices; initiating permission
papers; and labeling and mailing photographs to clients. Coordinates
internal photo requests including checking exhibition lists and loan lists
for availability of black and white prints and color slides/transparencies;
pulling negatives; arranging photography if necessary; ordering printing;
checking accession information and labeling items; tracking production
figures. Processes all finished photo orders and distributes/files photos
and original materials. Responsible for all accounts payable and
receivable; reviews monthly financial reports; and tracks missing
transparencies and unpaid permission fees. Assists Manager of Photographic
Services in answering requests for permission to publish HUAM images.
Prints accession information and sends permission request forms to
curatorial departments. Prints accession information for permission papers.
Prints and returns paid permission papers semi-monthly. Updates accession
information for negative envelopes. Maintains files and slides for sale to
the public. Receives visitors and fills orders for prints and slides.
Orders, labels and stamps duplicate images. Labels, sorts and files slides.
Enters photo information into database for new slides and black and white
prints. Answers telephones and opens mail. Oversees student
workers/volunteers. Maintains office supplies. Performs related job duties
as required.
