To catalog or not to catalog!

We have some mounted photographs in an long displayed exhibit, but do not possess the originals. We would like to keep track of their use as well as document their history in this exhibit. We are using Past Perfect. 

I have searched through other online collections policies, but can't seem to find any comparisons.
