You are right. The donation was actually given in 2005 and should be
documented as such. I am not sure if you have a tracking system for loan
numbers, but this piece would have been given an ML.1970 (museum loan in
1970) number in our system. We pull this record up our database and
close the loan and convert the number in our database to a 2005
accession number. We have a field in our database for legal status,
which we change the loan record to "converted". We use Argus, but you
may have a similar field in your database. This way there is still a
record of the previous loan and how it is connected to the current
donation.

Subject: [MUSEUM-L] Loan to a Gift
A painting loaned to our museum in 1970 was recently donated to our
museum. I would think that it would be cataloged as being received in
2005, and not 1970. I would cancel the loan, and note that it was
transferred to collection in 2005 with the appropriate catalog number.
What would you suggest?
