I do not know what you time line is like but your guild should be getting
prospecti for competitions all the time. They can provide a great lead in
for what you are attempting. Some questions facts to consider:

Is it a wide open call for entries or just for guild members. Makes a big
difference.

Most competitions these days jury by slides, not the best but it will be
better than handling a great number of art works. When this is done you
need to reserve the right to not accept something if it does not meet your
standards after seeing the artifact. Slides can be great or not so great.

If in doubt about time give yourself more.

Keep entry fees low.

Usually the host pays for return shipping.

You should provide insurance after a work is accepted into the show, ie.
after it clears your/judges final viewing of artifact until it is shipped
out.

Provide a calendar of events, deadline, jury date, receipt date, show
dates, return shipping dates, etc.

Include a phrase that says by entering the artist accepts all the
conditions of the prospectus.

Name judge with a brief bio.

Tell entrants you will use their packaging for return and that it has to
withstand two shippings. You still must be prepared to fix some boxes
anyway.

Run prospectus by a few artists if you can. They typically enter shows and
know what is good and bad.

Just a few quick ideas from someone that has organized way to many of these
things.
